Job Cards with digital sign-off: the death of paper

Paper job cards lose, fade, and never make it back to the office. Digital sign-off via WhatsApp closes that loop.

If you run a service business — plumbing, electrical, installations, repairs, on-site assessments — you know the moment.

You finish the job. The customer is happy. You hand them a paper job card with a clipboard and a pen. They sign in a hurry. You leave with the carbon copy in the back of the bakkie. The carbon copy fades, gets coffee on it, or is left on the dashboard for a week.

Then you try to invoice and the customer disputes a line item. You go looking for the signed copy. It is somewhere. You eventually find it, scan it on a phone, send it across, and you have lost an hour of admin chasing what should have been settled the moment the work was done.

How it works in ClientPulse

When a job is marked Pending Completion in the Job Cards module, the customer receives a WhatsApp link. They tap, they see the full job summary on their phone — work done, materials used, hours, total — and they sign with their finger.

The signed PDF is generated on the spot, stored against the client record, and the job card moves to Signed Off automatically.

The customer keeps a copy in WhatsApp. You have a copy in ClientPulse. There is no paper.

Why we built it on WhatsApp

We considered a separate signing app, but the friction was wrong. The customer would have to download something they will never use again. They would resist.

WhatsApp is already on every phone. The signing screen opens in a browser tab in 2 seconds. The customer signs, the tab closes, the experience never leaves WhatsApp. That is why adoption is high.

The 5-year address history

A small but specific thing the trades operators love: every job card auto-populates the address from the client profile, and you can search 5 years of jobs by address.

If you did the geyser at 12 Oak Avenue in 2024, and the new owner calls in 2026 about a leak, you can pull up exactly what was installed, when, and by whom. Property maintenance businesses in particular use this constantly.

Why this matters for cashflow

A signed-off job card is the trigger for an invoice. The faster the sign-off lands, the faster the invoice goes out, the faster you get paid.
