How ClientPulse complies with the Protection of Personal Information Act.

Under the Protection of Personal Information Act (Act 4 of 2013), ClientPulse acts as an Operator processing personal information on behalf of our customers (the Responsible Parties). For our own marketing site, billing, and account records, we act as a Responsible Party.
We process personal information to perform our contract with you (operating the CRM), to comply with legal obligations (tax, billing records), and on the basis of legitimate interest where appropriate (security monitoring, fraud prevention).
Our Information Officer can be reached at hello@clientpulse.co.za. The Information Officer is responsible for ensuring compliance with POPIA, handling data subject requests, and acting as the primary contact with the Information Regulator.
You have the right to: (a) be notified that personal information is being collected, (b) access personal information we hold about you, (c) request correction or deletion of personal information, (d) object to processing in certain circumstances, (e) lodge a complaint with the Information Regulator (https://inforegulator.org.za).
When you use ClientPulse to process your customers’ personal information, we commit to: (a) process information only on your documented instructions, (b) implement appropriate technical and organisational security measures, (c) notify you promptly of any data breach affecting your data, (d) assist you in responding to data subject requests, (e) delete or return data on termination of the agreement.
Personal information may be processed outside South Africa for hosting and redundancy. We ensure that recipients are bound by data protection commitments substantially similar to POPIA before transferring information.
When ClientPulse is used to send marketing messages to your customers via WhatsApp, email, or SMS, you (the Responsible Party) are responsible for obtaining the appropriate consents and honouring opt-outs. ClientPulse provides the tools to record consent and process opt-outs at the message level.
If we become aware of unauthorised access to or compromise of personal information, we will notify affected customers without undue delay. Report a suspected incident to hello@clientpulse.co.za.
