1. Who we are

ClientPulse (“ClientPulse”, “we”, “us”) operates https://clientpulse.co.za. This policy explains how we handle personal information in the operation of the ClientPulse CRM service.

2. Information we collect

Information you provide directly: account details (name, email, phone), business details (company name, industry), billing details, and the customer contact data you import or enter into the CRM. Information we collect automatically: IP address, browser type, pages visited, and cookies for session management and analytics.

3. How we use information

To operate the service: authenticate you, route messages, send notifications, generate invoices, process payments. To improve the service: aggregated, de-identified usage analytics. To communicate with you: onboarding, security notices, billing, and product updates. We do not sell personal information.

4. Where data is stored

Production data is stored in managed Postgres databases. Backups are retained for 7 days. Hosting providers operate SOC 2 Type II certified infrastructure. Data may be processed in EU and US regions for redundancy.

5. Sharing with third parties

We share data only with vendors that operate the service: hosting (Vercel), database (Supabase), WhatsApp routing (Whapi), email delivery (SMTP providers configured per organisation), payments (PayFast). Each is bound by their own privacy commitments and processes data only on our instructions.

6. Cookies

We use first-party cookies to keep you signed in and remember your theme preference. We use Google Analytics and Google Ads cookies to measure marketing effectiveness on our public site. You can disable cookies in your browser settings.

7. Your rights

You have the right to access, correct, or delete personal information we hold about you. You may also object to processing or request a copy of your data. Email us to exercise these rights — see contact details below.

8. Retention

We retain customer data for as long as your account is active. On cancellation, account data is retained for 30 days, then deleted unless you request immediate deletion or longer retention is required by law.

9. Children

Our service is intended for businesses and is not directed at children under 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. Material changes will be communicated by email or in-app notice. The “Last updated” date at the top of this page reflects the most recent revision.
