A two-person advisor practice consolidated WhatsApp, email, calendar reminders, and spreadsheet client tracking into a single platform.
Pieter runs a small financial advisor practice in Stellenbosch with one paraplanner. Before ClientPulse, the tooling stack was: WhatsApp Web (clients), Outlook Calendar (appointments), an Excel sheet (clients and policies), and a separate Word template (FNA reports). Four tools, three sets of data, one spreadsheet that had stopped agreeing with reality somewhere around 2024.
The consolidation was the win. Every WhatsApp message now logs against the client profile automatically — so when Pieter's paraplanner picks up a query, she can read the entire conversation history without asking the client to repeat themselves. Stream entries track every active opportunity (new policy, beneficiary update, claim, switch) with team assignment, so nothing falls through the cracks between them.
MJ replying to general enquiries was the surprise. Pieter turned MJ on for incoming WhatsApp prospect questions, and she now answers product-fit and pricing questions directly using his uploaded knowledge base — in his voice, in the prospect's language. When something is outside her confidence, she cuts the conversation politely and creates a task. Pieter handles the handed-back conversations between meetings; the rest are answered by the time he checks.
